How to Add a Documents Folder to a Project

Overview

Document folders are used to organize related documents on a project page. They help group similar files together, making it easier for users to find and access project resources.

Examples of document folder categories include:

  • Maps
  • Plans
  • Agreements
  • Reports
  • Other supporting documents

Once connected to a project, document folders appear in the project's sidebar.

Before You Begin

Before creating a document folder, ensure that:

  • You are logged into your CivicKit engagement platform.
  • The project you want to connect the folder to already exists.
  • Your documents are saved with clear, descriptive file names.

Step 1: Create a New Documents Folder

  1. Hover over Content in the administration menu.
  2. Select Add Content.
  3. Click Document Folder.

The Document Folder editing screen will open.

Tip: Review any help text provided on the page before entering information. The help text contains important guidance for managing document folders.

Step 2: Enter a Title

In the Title field, enter the folder name using the following format: Project Name – Folder Type

Example: Riverside Playground Revitalization Project – Plans

Important

The title does not display on the public-facing website.

Using a consistent naming convention makes it easier to locate and manage document folders later through the Content Manager.

Step 3: Select a Document Folder Type

Choose the appropriate folder type from the available options.

Examples may include:

  • Maps
  • Plans
  • Agreements
  • Reports
  • Other

When to Use "Other"

Use the Other folder type for documents that do not fit into an existing category.

To keep projects organized, place all uncategorized files into a single "Other" folder rather than creating multiple miscellaneous folders.

Step 4: Add Documents

Document folders can contain one or multiple files.

Add a Document

  1. Select Add Media.
  2. Choose one of the following options:
    • Select an existing file from the Media Library.
    • Upload a new file from your computer.
  3. Select Save and Insert.

Repeat these steps to add additional documents as needed.

File Naming Best Practices

Before uploading files:

  • Use clear, descriptive file names.
  • Avoid generic names such as:
    • Document.pdf
    • Scan001.pdf
    • FinalVersion2.pdf

Instead, use names that help staff and users easily identify the file.

Example:

  • Riverside_Playground_Site_Plan.pdf
  • Riverside_Playground_Landscape_Design.pdf

Step 5: Connect the Folder to a Project

To display the document folder on a project page, you must relate it to a project.

  1. Locate the Relating Projects field.
  2. Begin typing the project name in the search box.
  3. Select the appropriate project from the results.

Once selected, the document folder will be associated with that project.

Step 6: Publish the Documents Folder

When all information has been entered:

  1. Review the folder details.
  2. Select Publish.
  3. Save your changes.

The document folder is now available on the project.

Step 7: Verify the Documents Folder

To confirm the folder is displaying correctly:

  1. Navigate to the project page.
  2. Refresh the page if necessary.
  3. Locate the Documents section in the project sidebar.

If multiple document folders have been added to the project, they will all appear within the Documents section.

Users can then select and download the files directly from the project page.

Document Folder Checklist

Before publishing, confirm that:

  • The folder title follows the recommended naming convention
  • The correct folder type has been selected
  • All required documents have been uploaded
  • File names are clear and descriptive
  • The folder is connected to the correct project
  • The folder has been published
  • The folder appears in the project's Documents section
